Downloading Documents

Downloading Documents

There are four ways to download documents, each suited to different situations. These methods differ from the Export feature, which allows you to export a list of results but not the full text of each item. See below for details on downloading.

  1. Select items to download or export
  2. Click on the ellipsis
  3. Choose download to bulk download PDFs to a zip folder
  4. Choose export to export line items as a spreadsheet
  5. Choose either Excel or CSV formats
  6. Individually download as PDFs or MS-Word docs, extract tables to Excel, or else launch in a new tab

Method 1 – Download Individual PDFs from the Result Grid

This is the fastest way to download items as PDF documents on the fly.

  1. In your Result Grid, click the download icon on the far right of any row containing an item you want to download.

    1. Download PDF - downloads PDF
    2. Downlaod MS Word version - converts document to Word and maintains all formatting, including graphics and images
    3. Extract tables to Excel - extracts only the tables out of the document and saves them as tabs of a spreadsheet in Excel, maintaining all formatting, fonts, and colours
  2. The file will download to your default Downloads folder or the folder specified in your browser settings (Settings > Downloads).

  3. This method downloads files directly without creating a subfolder.

Method 2 – Download Zipped Folders Using the Result Grid Menu

Downloading to a zip folder helps keep documents organized into separate folders.

  1. Select the items you want to download by checking the checkboxes on the far left of each row.

  2. Click the ellipsis (...) on the upper right of your Result Grid to access the menu.

  3. Choose Download.

  4. Review the number of documents and the download size before proceeding.

  5. Click OK—the system will prepare a zip file in the background and automatically download it to your default Downloads folder.

  6. The downloaded zip file will contain all selected items.

Method 3 – Download from the Full Text Document

This method is useful when you’re already viewing a full-text document and need to download it.

  1. In the Full Text Document, click the download icons (PDF, Word, Excel) on the upper right.

  2. Like Method 1, this method downloads files directly without creating a subfolder.

Method 4 – Print to PDF for Page Ranges and Retaining Highlighted Terms

Use this method when you want to only download specific page ranges and/or retain search term highlights in the downloaded document.

  1. In the Full Text Document, click the print icon on the upper right to open the menu.
  2. Specify the page range to save as a PDF (if needed).
  3. Select Include Annotations to retain search highlights or uncheck it to exclude them.
  4. Click Print.
  5. Under Destination, select Save as PDF.
  6. Name your document if prompted.
  7. The document is saved with the settings you selected.
