Importing Company Lists 

Avantis allows you to upload or import pre-made issuer lists in Excel format, making it easy to run searches without manually entering issuer names each time. Instead of repeatedly specifying the same group of issuers, you can upload a list once and add it to future searches with a single click.

  1. Start in Companies
  2. Click on the ellipsis
  3. Click on Import company lists...
  4. In the spreadsheet you are uploading, Issuer name would ideally be column A
    1. Issuer name is not mandatory but helpful, especially if it matches the SEDAR or SEC issuer name exactly
  5. In the spreadsheet you are uploading, Source must be column B
    1. Source is a mandatory field - without it Avantis will not upload your list
    2. Source must be column B
  6. In the spreadsheet you are uploading, Profile/CIK# would ideally be column C
    1. Profile/CIK# is not mandatory but is the best identifier to match against
    2. Provided Profile/CIK# is correct, every entity on your list will match and produce no errors
  7. In the spreadsheet you are uploading, Stock Symbol would ideally be column D
    1. Stock Symbol is not mandatory but helpful

Necessary Columns and the Import Template

To ensure a successful upload, your issuer list must include specific columns.

  • Downloading the import template provides the safest format to avoid errors.

  • You can either paste your values into the template or reformat an existing spreadsheet to match its structure.

Recommended Column Structure:

Column Description Required?
A Issuer Name Helpful
B Source (CA or US) Required
C Profile/CIK# (Issuer Number) Ideal
D Stock Symbol Helpful

Important:

  • Column B (Source) is mandatory—it must be CA or US, or the import will fail.

  • Column C (Profile/CIK#) is strongly recommended. If it's missing, Avantis will attempt to match issuers based on Columns A and D (Issuer Name and Stock Symbol).

  • If Columns B and C are correctly set up and accurate, your import should process without errors.

Handling Import Errors

Error: "There was an error loading your file. Please upload a valid file."

  • This means Column B is not properly labeled as "Source" (CA or US). Update the spreadsheet and re-upload.

Error: "Some of your issuers could not be uploaded."

  • Some issuer details are incomplete or incorrect.

  • Successfully processed issuers will be imported, and rejected issuers will be saved in a downloadable Import Exceptions file.

  • Fix the errors in the exceptions file and re-upload, or manually add missing issuers by searching and right-clicking them.

Renaming Your Imported Issuer List

  • By default, the list is named based on the import date and time.

  • To rename it, click the pencil icon next to the issuer list name in the Issuer List criteria field.
